Privacy policy.

This policy covers adaptautomations.com, operated by Adapt Automations LLC ("Adapt Automations," "we," "us"), a Georgia limited liability company based in Valdosta, Georgia. It explains what information is collected when you use this site, why, and what happens to it. Questions any time: contact@adaptautomations.com.

What we collect, and why

The contact form

When you submit the contact form, we collect the information you type: your name, email address, phone number (optional), business name (optional), and your message. It's used to reply to you and, if you become a client, to keep track of our work together. Submitting the form triggers an automatic email confirmation to you, and follow-up reminder emails may be sent if we haven't heard back. Every one of those stops the moment you reply or ask it to stop.

Booking

If you book a walkthrough, scheduling runs through Cal.com, which collects your name, email, and the time you pick, and places the appointment on our business calendar (Google Workspace).

Payments and invoices

Payments are processed by Stripe. Your card or bank details go directly to Stripe over an encrypted connection; they never touch our servers and we never see or store them. Stripe shares with us only what an invoice needs: your name, email, what you bought, and payment status. Stripe's own privacy policy is at stripe.com/privacy.

The client portal

If you're a client using the portal, signing in requires your email address, and a session cookie keeps you signed in. That cookie exists only to keep your session working. It isn't used to track you, and there are no advertising or cross-site tracking cookies anywhere on this site.

Site analytics

This site may use Cloudflare Web Analytics, which is cookieless and does not track individuals or build profiles. It tells us things like how many people visited a page, not who they are.

The site assistant

This site has an AI assistant called Nico, the crow perched in the corner of the page. He answers questions about what Adapt Automations does, and using him is optional. What you type into the chat is sent to Anthropic, the company that provides the AI model, so an answer can be generated. When you start a chat, Cloudflare Turnstile runs a quick check that a person is on the other end and not a bot. We store conversations for up to 30 days to improve the answers and prevent abuse, and then they are deleted. The chat keeps your IP address only as a salted one-way hash, which is used to limit how many messages can be sent. A cookie keeps your conversation together while you chat, and it isn't used to track you.

Please don't type personal, payment, or other sensitive information into the chat. Nico doesn't need it to help you. He can also be wrong. If an answer matters to a decision you're making, confirm it with us directly: contact@adaptautomations.com.

Free tools

Most of the free tools on this site run entirely in your browser, and nothing you type in them is sent anywhere. The Local Business Report Card is the exception, because grading a website means looking at it. When you run it, the website address, business name and town you enter are sent to our server, which then fetches that website's public homepage, its robots.txt, sitemap and llms.txt files, the sizes of up to 8 of its images, and its public email DNS records (through Cloudflare's DNS service). For the speed test, the website address (and nothing about you) is sent to Google PageSpeed Insights, and for the screenshots Cloudflare's browser service loads that public page. Cloudflare Turnstile checks that a person ran the test. We do not save the result in a database. It is held in Cloudflare's short-term cache for up to 6 hours (24 hours for the speed part) so a shared link opens quickly, and then it expires. To limit how many checks can be run, your IP address is kept only as a salted one-way hash, never in readable form.

Who handles the data

We run a small, boring set of well-known services, and each one only gets what its job requires:

• Cloudflare hosts this website and provides analytics and security.
• Stripe processes payments and stores invoices.
• Google Workspace handles business email, our calendar, and the spreadsheet where inquiries are logged.
• Resend sends transactional emails like form confirmations and sign-in links.
• Cal.com handles appointment booking.
• Anthropic provides the AI model behind the site assistant and receives what you type into the chat.
• Google runs the PageSpeed Insights speed test behind the Report Card and receives the website address you ask us to grade.
• Form submissions are processed on infrastructure we operate ourselves.

What we don't do

• We don't sell your information. Ever. To anyone.
• We don't share it with third parties for their marketing.
• We don't run advertising trackers or cross-site cookies.
• We don't collect more than the site needs to work.

How long we keep it

Inquiries and client records are kept while they're useful for serving you, and financial records are kept as long as tax and accounting law requires. If you want your inquiry information deleted, email us and we'll remove it unless a legal obligation says otherwise.

Your choices

You can ask us what information we have about you, ask for a copy, ask us to correct it, or ask us to delete it: contact@adaptautomations.com. You can stop follow-up emails by replying "stop" or clicking the link in the email. Depending on where you live, you may have additional rights under your state's privacy laws, and we'll honor reasonable requests regardless of which state you're writing from.

Children

This site is for businesses and isn't directed at children under 13, and we don't knowingly collect their information.

Changes

If this policy changes, the new version goes up on this page with a new effective date. Material changes for existing clients get an email.
